What can I do if a Memberspot system email is not delivered?

Avoid undelivered messages, email not received, spam folder, delivery, deliverability, why the confirmation link is not arriving.

First check – find missing emails in just a few seconds

Most emails that seem to be “missing” are actually in the inbox — just not immediately visible.

Please always check the following locations first:


Checklist – where emails are often found

  • Check the spam folder

  • Check the junk folder

  • Review rule-based folders

  • Check the trash folder

  • Check the promotions or advertising folder

  • Check “Other” or “Clutter” folders (e.g. in Outlook)

  • If forwarding is set up, also check the destination inbox


If the email is not there

Email delivery issues can have different causes. The following tips will help you troubleshoot:


1. Check delivery status

In the member management area, you can see the delivery status of each system email.

If the status is “Delivered”, it means the email was successfully handed over to the recipient’s mail server.


2. Check the spam folder

If your customer did not receive an email, always check the spam folder first.

Emails can sometimes be incorrectly classified as spam.


3. Add Memberspot as a safe sender

To improve deliverability, the email address
info@memberspot.de should be added as a safe sender (whitelisted).


4. Try a different email address

If nothing works, try using a different email address with another provider.


Important to understand

Email deliverability does not only depend on the sending server, but also on the recipient’s settings.

Strict spam filters may block or redirect emails.

In such cases, the recipient should contact their email provider or system administrator and whitelist info@memberspot.de.


Our email performance

We use Google G Suite for sending emails and generally do not experience delays or issues.

Our current delivery rate is approximately 99.7%.

However, some email providers are more sensitive to spam filters, such as:

  • web.de

  • t-online.de

  • gmx.net

  • yahoo.com


Emails to your members

In the member management, you can click on a contact and open the Notifications tab.

There you will find an overview of all emails sent by the system.

The status column shows the delivery status.

If it shows “Delivered”, the email was successfully handed over to the recipient’s mail server.

During peak times, delivery may take up to 15 minutes.


If a member reports a missing email

The first step is always to check the delivery status.

A “Delivered” status confirms that the email was successfully transferred to the recipient’s mail server.


Common causes

If a customer still cannot find the email, it is usually due to:

  • The email being in a spam folder

  • The email being in the spam folder of a forwarded inbox


What the recipient should do

  • Check the spam folder carefully

  • Contact their email provider’s support

  • Add info@memberspot.de as a safe sender


Additional notes

Some email providers have very aggressive spam filters.

Even if an email is marked as “Delivered”, it may still be classified as spam.

A common issue is that users believe the email is not in spam, but have not checked thoroughly.


Emails to you

If you are not receiving emails yourself:

  • Wait up to 15 minutes (delays can occur during peak times)

  • Check your spam folder

  • If you use forwarding, also check the spam folder of the target inbox


Simple workaround

Try using a different email address, preferably from another provider.
